Provides competent secretarial and administrative assistance such as typing, filing, setting-up meetings, composing letters, responding to telephone inquiries, making travel arrangements;
Controls department office supplies and places orders, prepares service requisitions.
Coordinates the activities of different departments.
May be required to take responsibility for replying to routine correspondence and queries in the absence of immediate superior, while referring non-routine matters to managers/specialists within the departments.
Obtains required resources for tasks and activities such as reservation of meeting rooms, ordering of required materials and ensuring necessary equipment is available.
To prepare cheque requests. Maybe required to account for miscellaneous departments expenses , prepare liquidation report.
Maintains systematic, orderly filing system, maintains and employs a variety of reference materials which are required by the department; maintains identified departmental databases. Safeguards confidential files.
Performs any other administrative tasks or special projects as assigned from time to time to assist the department heads and section heads in performing their duties.
Skills and Knowledge:
College graduate of of any Business course.
Good oral and written communication skills, can compose routine letters following established standards on business correspondence;
With competent ability in the use of Windows-based Applications such as MS Word, Excel, power Point and Adobe Pagemaker and can format reports of moderately complex nature;
Very keen on details
Effective interpersonal skills, organized and has the ability to work in a team environment under minimal supervision.
